Legal PA/Paralegal – Siemens , Dubai, UAE

Job Overview
This is a hybrid role leaning heavily towards paralegal competencies but with a solid demand on PA skills. The position is based in Dubai but as a direct report to the Regional General Counsel, there should be some basic working knowledge of the wider GCC region.
Ideal candidate would be one that can demonstrate working across a sliding scale of complexity, from office management to skilled diary management, to standard paralegal responsibilities, and within specified deadlines.

Responsibilities and Duties
· First point of contact for the Legal Department:
– Primary liaison between the Legal Department and company employees, business partners, attorneys, and all other external and internal parties of all levels.
– Ability to breakdown and understand queries and route accordingly.
· PA to Regional General Counsel:
– Diary/calendar management
– Arrange travel bookings
– Organize day-to-day tasks
– Manage correspondence
– Provide support for assigned projects
– Manage multiple administrative processes within the team and the day-to-day running of the office.
– Supervise and instruct the team assistant.
– Manage integration of new office technologies and systems as appropriate.
– Responsible for on-boarding of new joiners/interns/delegates.
– Prepare quarterly audit reports, presentations, reports, statistical charts and briefings.
– Prepare annual planning budget and monthly budget analysis repor
· Paralegal:
– Draft standard company resolutions
– Issue Powers of Attorney including the management and administration of the “Project Power of Attorney eTool”
– Arrange and (where necessary) attend notary appointments.
– Maintain company registers
– Prepare UBO, KYC and AML documentation.
– Perform legal research and compile summary data from requested references (laws, legal encyclopedias, journals, etc.)
– Account administrator for online research platforms
– Responsible for external counsel retention and mandating
· Document Controller:
– Arrange attestation and legalization of documents as necessary
– Monitor information flow throughout the department from multiple channels
– Organize and maintain paper and electronic files.
– Responsible for the Legal Department document safe.
– Responsible for document requests from inside and outside the company

Required Skills & Qualifications
· Fluent written and oral communication skills in English.
· Significant experience in administrative role reporting directly to upper management ideally within a corporate setting
· Solid drafting skills
· Strong time-management skills and ability to organize and co-ordinate multiple concurrent projects and work well under pressure to tight deadlines
· Proficiency with office productivity tools and an aptitude for learning new software and systems
· Flexible team player, willing to adapt to changes and unafraid of challenges
· Ability to maintain confidentiality of information
· Regional experience

Preferred Skills & Experience
· Arabic and/or German language skills.
· Experience in overseeing budgets and expenses
· Experience in developing internal processes and filing systems
· Legal research skills and the desire to develop understanding of regional law
