IT Asset Management Administrator – Bahrain Petroleum Company , Bahrain

ROLE AND RESPONSIBILITIES
1. Create and follow up on Material and Service Requisitions using the company ERP system, to
ensure timely initiation of acquisition process and fulfilment of business needs, in compliance
with internal procedures.
2. Carry out all inbound/outbound IT asset inventory movements, thorough periodically
inspecting materials, equipment, and accompanying documents (delivery notes, invoices,
quality certificates, warranty certificates, etc.), to ensure accurate and controlled IT asset
inventory at all times.
3. Perform data entry, maintain electronic records, asset databases, and internal documentation
related to receipt, issue, transfer, and disposal of equipment and materials, to verify the correct
status is maintained and that actual physical stock matches the accounted stock.
4. Tag all hardware assets, maintain electronic asset records following internal asset
tagging/naming conventions, to ensure information is up-to-date, accurate and auditable.
5. Contribute to the correct flow of financial documents, assist in tracking, verifying processing
and reconciling invoices, to ensure payments to suppliers are timely and accurate.
6. Carry out software license administration and track allocation and use of licenses to ensure
accurate records keeping, optimal utilization and compliance with vendor license agreements.
7. Manage the IT warehouse, keep the stock in good order, work closely with support engineers
and other I&O staff to capture and control the issue, dispatch and returning assets to/from the
IT warehouse. Maintain records of borrowing/returning of IT equipment, such as laptops and
other devices – to ensure accurate tracking of assets provided on loan to users.
8. Provide periodic status reports on all categories of IT asset inventory to assist management
information and action, and for facilitating internal/external audits.

QUALIFICATIONS
• Minimum Diploma in Information Technology/Business or General Administration or
equivalent.
• Minimum five (5) years’ experience in an IT department of a large corporation out of which 4
years should have been in an IT Asset Management function including inventory control.
• Working knowledge of IT related products and services, technical specifications, service level
agreements, license management.
• Proficient user of common Office 365 productivity, communication, and collaboration tools
(Word, Excel, PowerPoint, Teams/Skype, SharePoint, etc.), work experience with ERP systems
and other enterprise information systems.
• Highly ethical, rigorous, well organized, fast-paced, and attentive to details.
• Strong business communication and customer and vendor relationship skills and can
communicate effectively in oral and written English.
