ADMINISTRATIVE ASSISTANT | COMPUTER SCIENCE AND ENGINEERING – American University of Sharjah , Sharjah, UAE

Job Responsibilities
Provide administrative services for the Department of Computer Science and Engineering.
Use Banner to prepare requisitions and purchase orders and for student registration, class schedule changes, removing advisor holds, and retrieving information requested by department head.
Compile and summarize assessment data provided by the faculty.
Help conducting assessment surveys and compile and summarize the results.
Assist in preparing course portfolios.
Support faculty search committees by receiving and filing applications.
Prepare and manage routine correspondence.
Prepare documents and generate reports.
Order, maintain and update department’s purchases.
Assist in managing student internships.
Coordinate student employment and monitor the grader budget.
Prepare textbook orders, copy handouts and exams for the faculty, and make room and classroom reservations.
Assist in student registration and queries.
Maintain and update, accurately and neatly, databases for the department.
Coordinate between the department and other university units.
Take notes and minutes of meetings.
Prepare invitations, posters, awards and other relevant documentation and information for department events and functions.
Compile needed accreditation documents.
Prepare various statistical reports.
Update the department’s website.
Other tasks as assigned by the Head of Department.

Qualifications, Experience and Skills Required
Bachelor’s degree.
Minimum of four years of experience in administrative services.
Excellent experience with and knowledge of MS Office Suite.
Expert-level skill in advanced Excel features.
Excellent interpersonal and communication skills.
Attention to detail and accuracy are critical; ability to ensure completion and correctness.
Ability to work under pressure.
Excellent time management skills to manage multiple projects, as well as the flexibility to adjust as new projects are assigned.
Willing to engage in continuous learning.
Ability to work with diversified members.

Preferred Qualifications, Experience and Skills Required
Experience in a higher education work environment.
Experience with and knowledge of Banner.
MS Office suite certifications.
