GRANT MANAGEMENT SPECIALIST | OFFICE OF RESEARCH AND GRADUATE STUDIES – American University of Sharjah , Sharjah, UAE

Job Responsibilities
Support faculty in understanding university and sponsor policies and guidelines, and assist in implementing said policies at the department level and recommend process improvements.
Assist in forecasting expenses and providing regular as well as ad hoc reports to requesting departments and faculty.
Proposal Management
Advertise funding solicitations; assist faculty in sourcing funding opportunities.
Assist faculty in research proposals and budget development.
Coordinate and develop budget and administrative sections of grant applications.
Provide resolution and technical assistance to sponsored programs, university personnel and auditors.
Assist faculty to ensure compliance with any applicable laws, rules, regulations and university policies.
Prepare monthly, quarterly and/or annual reports for HODs, Deans or Directors as requested.
Assist in reconciliation and analysis of awards in the facilitation of grant management including with restricted expenditures, revenues, grants receivables, cost share, matching and effort reporting.
Partner with PIs to assist in the initiation, review, and negotiation of grants and contracts, cooperative, non-disclosure, subaward and other service agreements using knowledge of all relevant regulations.
Participate in the development, design and implementation of policies and procedures manual and online applications.
Assist in the creation and presentation of training materials for college faculty and staff, providing information and guidance in the area of PI roles and responsibilities, grants management policies and procedures.
Institutional Review Board (IRB)
Document and organize incoming IRB submissions.
Complete initial thorough review and allocate for further evaluation.
Track and record approvals and expirations of protocols and trainings.
Serve as subject matter expert by educating, consulting and guiding researchers, faculty, staff and students in the design and conduct of human subject research to ensure compliance with regulations and policy.
Advise research personnel in preparing research protocols and subsequent submissions for IRB review.
Preview research protocol submissions to ensure that individual research protocols involving human subjects are in compliance with the regulations, policies and procedures for conducting research.
Compose letters that accurately document the determinations of the IRB and describe any revisions required by the research team.
Maintain IRB-required record keeping and prepare correspondence to investigators, study sponsors and regulatory agencies that document the determinations of the IRB.
Provide training on sponsored research policies and procedures.
Complete other duties as assigned by the supervisor.

Qualifications and Skills Required
Bachelor’s degree.
Minimum of two years’ experience in administration, preferably in higher education environment or with research funding agency.
Ability to maintain a solution-oriented attitude while providing unsurpassed customer service.
Exceptional verbal and written communication skills.
Exceptional critical thinking and problem-solving skills.
Skill in establishing and maintaining effective working relationships.
Ability to work well under pressure without sacrificing teamwork, accuracy or customer service.
Knowledge of accounting practices, procedures and reporting.
Knowledge of university and sponsor policies and procedures, and/or demonstrated ability to learn and integrate policy and procedure as needed.
Excellent computer skills in Microsoft Office Suite or similar applications
Experience in developing and presenting policies, procedures, and training programs.

Preferred Qualifications
Three to five years related job experience in pre- or post-award grant management in a higher education setting.
Familiarity with international polices and regulations for the protection of human research subjects.
Certifications related to administration of sponsored projects and/or responsible conduct of research.
Experience with proposal submissions with agency mechanisms.
